Hotel room door opening into a bedroom

A hotel key card stores a code that the door lock checks. When a guest checks in, the encoder at reception writes the room and stay details to the card. The lock reads the card, checks the details are valid, and opens. When the stay ends, the card stops working.

The two main types

  • Magnetic stripe cards: the code is written to the stripe on the back. The guest inserts or swipes the card.
  • RFID or NFC cards: a chip inside the card holds the code. The guest holds the card near the lock.

What the encoder writes

Typically the room or rooms the card opens, the check-in and check-out times, and a code that tells the lock whether this card replaces an earlier one. Shared areas such as lifts, gyms or car parks can be added to the same card.

Why key cards stop working

  • The stay has ended or a newer card has been encoded for the room.
  • A magnetic stripe has been wiped by a strong magnet, such as a magnetic phone case or bag clasp.
  • The card is cracked or the chip is damaged.

RFID cards are not affected by magnets, which is one reason many hotels switch.

Why hotels use cards instead of keys

A lost metal key can mean changing the lock. A lost card is simply cancelled by encoding a new one. Cards are also cheap to replace and can carry your branding.

Choosing the right card

The card must match your lock system. See RFID hotel key cards and lock compatibility before ordering.
